WhatsApp is where everything happens for most Latino businesses. It's also where the most leads get lost — because nobody can be answering 24/7. The good news: it can be automated. The key is understanding that there are levels, and choosing the one that matches how much you sell there.
Level 1: the free app tools (fixed messages)
The WhatsApp Business app comes with free tools. In Settings > Business tools you turn on:
- Welcome message: sends itself when someone messages you for the first time.
- Away message: replies outside your business hours ("Thanks, I'll get back to you tomorrow at 9 AM").
- Quick replies: shortcuts for sending texts you repeat a lot.
It works so no one is left without an initial reply. But heads up: these are fixed messages. They don't converse, don't qualify, don't book. If the customer asks something specific, the welcome message won't answer it.
Level 2: a chatbot through the API (flows)
The next step up needs the WhatsApp Business API (different from the regular app). With it you connect a chatbot that follows flows: "if they ask about price, show this; if they want an appointment, offer time slots."
Better than fixed messages, but if it's a rigid rules-based chatbot, it gets stuck when the customer goes off script. I wrote about the difference between a rules-based chatbot and an AI agent.
Level 3: an AI agent (converses, qualifies, books)
The level that really gives back time and sales. An AI agent connected to WhatsApp:
- Understands natural language — the customer writes however they want.
- Answers with your tone, your services, and your prices.
- Qualifies the lead (where are they messaging from? what are they after? are they ready?).
- Books the appointment and logs it.
- Hands you the conversation when the lead is hot or asks for a human.
All around the clock, without hiring anyone.
The piece almost everyone forgets: connecting it to the CRM
Automating the reply is half of it. The other half is that every conversation goes into your CRM, gets logged, and triggers automatic follow-up. Without that, you answer fast but the lead still slips away after the first message. With it, WhatsApp becomes a machine for capturing and closing.
Which level you need
- Low volume, very small business: Level 1 (free fixed messages) already helps.
- You really sell over WhatsApp, you get a lot of messages, after hours: Level 3 — an AI agent connected to the CRM. It's the difference between "not leaving anyone on read" and "closing while you sleep."
