Ask most business owners where their best customer comes from and they'll tell you "I don't know, from Instagram I think". Ask them how much it costs to get a lead and they go quiet. It's not that they don't care — it's that the data is scattered across five places and nobody has time to pull it together.
The problem is that without those numbers, every decision is a hunch. And expensive hunches get paid for with burned budget.
These are the five numbers you should see every Monday.
1. New leads by source
Not "how many leads" — but where they come from. How many from Instagram, how many from Facebook Ads, how many from referrals, how many from Google. Without this breakdown you don't know which channel to feed and which to shut off. It's the difference between investing with aim or investing blind.
2. Cost per lead (by channel)
How much it costs you, on average, for one person to raise their hand. This number tells you whether your Meta Ads campaigns are profitable or just expensive. A channel with a low cost per lead and good conversion is a gold mine; one with a high cost and little conversion is a leak.
3. Lead-to-appointment conversion
Out of every 100 leads that come in, how many book? This number measures the health of your follow-up. If a lot of leads come in but few book, the problem isn't traffic — it's what happens (or doesn't happen) after they come in. Almost always: no automated follow-up.
4. Appointments kept vs booked (no-show rate)
Booking isn't closing. If 40% of your appointments don't show up, you have an expensive gap between interest and the sale. This number exposes whether you need automated reminders, better pre-qualification, or both.
5. Closed sales and ROI by channel
The final number: how much you sold and which channel brought it. Cross sales against cost per channel and you get real ROI — the one number that tells you, no argument, where to put the next dollar.
The problem isn't measuring. It's that the data lives in five places
None of these numbers is exotic. The problem is where they live: leads in WhatsApp, sales in an Excel sheet, ad spend in Business Manager, appointments in another calendar. Pulling all that together by hand every Monday is work nobody does consistently.
That's why they end up deciding by gut.
How a live dashboard solves it
A live dashboard connects all those sources and puts the five numbers on one screen, updated in real time. Instead of rebuilding the story every week, you see it at a glance:
- Leads flow in from your CRM with GoHighLevel.
- Spend and performance come straight from your ad platforms.
- And it all gets crossed to show you the real ROI by channel.
You check it from your phone, every Monday, in two minutes. And for the first time you decide with numbers, not with hunches.
Next step
If you make decisions "by gut" because your data is scattered, this is what fixes it. Take a look at the live dashboards service or book 15 minutes and I'll show you what your business's panel would look like.
